How do I install QTools?
Install QTools directly from the Shopify App Store like any other app — search for QTools, click install, and approve the requested permissions. QTools reads your existing product catalog, customers and companies to set itself up, but doesn't modify or duplicate any of that data; it simply builds its quoting and CRM layer on top of what's already in your store. Once installed, a short setup flow helps you configure your default margin, fiscal year and pipeline stages, and you can invite additional sales team members with their own permissions straight away. No developer or theme changes are required.
Does QTools change my existing orders or products?
No. QTools reads your existing products, customers, companies and orders to power its quoting and CRM features, but it doesn't modify, duplicate or move any of that underlying data. Quotes are built as standard Shopify draft orders, so when one is accepted it converts using Shopify's own normal order flow — nothing about how your existing orders or product catalog behaves changes as a result of installing the app. If you were to uninstall QTools, your products, customers and past orders remain exactly as they were; only QTools's own quoting and pipeline data would stop being accessible.
What happens when a customer accepts a quote?
When a customer accepts a quote — either by approving a pay-online link or confirming via your sales rep — the underlying Shopify draft order converts into a real order, keeping the exact same order number throughout so there's no confusing renumbering for the customer to puzzle over. The linked deal automatically advances to Closed Won in the pipeline, the order flows into your normal Shopify fulfilment and payment process, and — if configured — the sale pushes through to any connected CRM or accounting integration like Salesforce, Pipedrive, Xero or MYOB. From the customer's side, it feels exactly like any other Shopify checkout confirmation.
Can I customise the pipeline stages?
Yes — pipeline stages aren't fixed. You can rename existing stages, add new ones, remove ones you don't use, and set the weighted close probability each stage contributes to your sales forecast, so the pipeline matches how your business actually sells rather than a generic default. Changes apply immediately to the kanban board, and existing deals keep their history even if a stage gets renamed or reordered later. This is particularly useful for teams migrating from another CRM or a spreadsheet, since you can recreate your existing process rather than forcing your sales workflow to fit QTools's defaults.
Does it work with Salesforce?
Yes. QTools maintains a two-way sync with Salesforce for leads, contacts and accounts, and pushes won-deal data through automatically so your Salesforce records stay aligned with what's actually happening in your Shopify-based pipeline. Field mapping is configurable, so you control which QTools fields correspond to which Salesforce objects rather than being locked into a fixed default mapping. This is aimed at businesses that already rely on Salesforce for broader account management or reporting, but want their Shopify quoting and order data feeding into it automatically instead of needing someone to manually re-key deal information between the two systems.
Where is my data stored?
QTools reads and writes the majority of its data directly into Shopify itself — quotes as draft orders, deals linked to Shopify Companies and Customers — so your core commercial data stays inside Shopify's own infrastructure rather than being duplicated into a separate external database. Configuration specific to QTools, such as pipeline stage setup, margin defaults and integration credentials for services like Salesforce or Xero, is stored securely within QTools's own hosted environment, encrypted at rest and in transit. If you uninstall the app, your Shopify data — orders, customers, products — is entirely unaffected, since it was never duplicated outside of Shopify in the first place.
How much does QTools cost?
QTools is a single flat-rate plan: $55 USD per store, per month. There are no tiers to compare and nothing held back — every store gets the full quote builder, CRM pipeline, KPI tracking and every integration (Salesforce, Pipedrive, Xero, MYOB) from day one, regardless of team size. A free trial is included, so you can build real quotes and run a pipeline for a few weeks before committing. See the pricing page for the full feature list.
Can multiple sales reps use QTools at once?
Yes — QTools is built for teams, not just a single user. Each sales rep gets their own login with deals, quotes and customers attributed to them individually, while managers get filtered views to see performance by rep, team or region without needing separate spreadsheets. Permissions control who can edit pricing defaults or margin rules versus who can simply build and send quotes, so junior reps can be onboarded without giving them access to sensitive account-wide settings. Pipeline and forecasting views aggregate across every rep automatically, so leadership always has a company-wide picture alongside each individual's activity.
Does QTools support multi-currency quoting?
Yes — QTools quotes in whichever currencies your Shopify store is already configured to sell in, using Shopify's own currency and market settings rather than maintaining a separate conversion layer. A customer in a different market sees pricing, shipping and totals in their local currency on the quote and invoice PDF, calculated using the same rates and rounding your storefront already applies at checkout. This keeps quoted figures consistent with what a customer would actually be charged, and means expanding into a new market or currency in Shopify doesn't require any extra configuration inside QTools itself.
Can customers pay directly from a quote?
Yes — every quote can include a secure pay-online link that lets a customer accept and pay in one step, processed through Shopify's own checkout rather than a separate payment system. This is useful for smaller B2B orders or one-off customers without standing account terms, letting them complete a purchase as easily as a normal online order while still receiving a properly branded, itemised quote or invoice. Once paid, the linked draft order converts automatically and the deal's pipeline stage updates to reflect it, so there's no manual step required from your sales team to mark the quote as won and processed.
