Set up QTools, quote to quote

Everything you need to install QTools, configure your pipeline, build your first quote, and keep your CRM in sync with Shopify.

Installation

QTools installs like any other Shopify app — there's no theme code to edit and nothing on your storefront changes.

  1. From your Shopify admin, go to the Shopify App Store and search for QTools, or open it directly from your app listing link.
  2. Click Install and approve the requested permissions (products, customers, orders and draft orders).
  3. QTools appears in your admin sidebar. Open it to run the short setup checklist — pipeline stages, tax settings and your quote template.
Note: installing QTools does not modify any existing products, customers or orders. It only reads Shopify data and creates draft orders when you build a quote.

Pipeline setup

Your pipeline is made up of stages — the steps a deal moves through from first contact to closed-won. Stages are fully per-shop.

Creating and reordering stages

Go to QTools → Settings → Pipeline. Add, rename or remove stages, and drag to reorder them. Common setups use stages like Qualified, Quote sent and Won, but you can match this to however your team actually sells.

Win probability

Each stage carries a win probability (for example, Qualified might be 30%, Quote sent 60%). This weights your forecast — a $50,000 deal at 60% contributes $30,000 to weighted pipeline value.

Owners and filters

Assign a deal owner when a deal is created, or reassign it later — every change is kept in the deal's activity history. Use saved filters to slice the board by owner, company, value or stage.

Building quotes

Every quote in QTools is a real Shopify draft order underneath, so pricing, inventory and tax are always accurate.

  1. From a deal, click New quote and search your product catalog to add line items.
  2. Shipping is pulled live from your Shopify shipping zones and any carrier apps you have installed — no manual entry.
  3. Review totals, then generate a branded PDF using your configured quote template (logo, terms and layout are set once in Settings → Quote template).
  4. Send the PDF to your customer. When they accept, mark the deal Won — QTools converts the underlying draft order into a real Shopify order automatically.
Tip: QTools will suggest add-on products based on past pairings, and you can export any quote as a price list.

Leads & companies

QTools adds a CRM layer on top of your existing Shopify customers, so nothing is duplicated.

Leads

Capture prospects before they're customers. Move a lead through New → Contacted → Qualified, then convert it into a deal once they're ready for a quote.

Companies

Group multiple buyers under one company account to get a single view of every contact, deal and quote tied to that organisation.

Universal search

Use the search bar in the QTools sidebar to find any deal, lead, customer or company from one place.

Tax & shipping

Configure tax handling once in Settings → Tax — choose GST-inclusive or exclusive pricing, and it applies to every quote from then on.

Shipping costs on a quote are calculated using your live Shopify shipping zones and rates at the moment the quote is built, so what you quote matches what the customer is actually charged at checkout.

Salesforce sync

If your wider sales org runs on Salesforce, connect it from Settings → Integrations → Salesforce. Once connected, leads and company accounts created in QTools sync to Salesforce, and updates flow both ways.

Note: only CRM data (leads, companies, deal metadata) syncs to Salesforce — draft orders and Shopify order data are not pushed externally.

Uninstalling

Uninstalling QTools from your Shopify admin removes the app and its CRM data (stages, owners, notes, history). Draft orders and orders that were created through QTools remain in Shopify exactly as they are — uninstalling does not touch your Shopify products, customers or order history.
